This page lists all revisions of the selected document. Each document can have several revisions, but only the revision checked  in the "Latest revision" column is accessible for users.

If it's before "Effective Date" or "Expiry Date" passed, the files of it will not be accessible anymore.

"Status" also shows the situation of document revisions:

  • In Progress > the change process is still ongoing and not finished yet
  • Released > the change process is done and the document is published on "Publish Date"
  • Expired > new revision is released or the document is no longer valid due to a change.

For some work instructions, procedures, and forms that are implemented in Sana, can be linked to the document revision and will appear on the "Related Form".

According to the "Review cycle" of the Document Type🔗, "Review Date" will calculate by the system. It means that you should review this document before this date.

Create new revision

To create a new revision, click on the button from the action bar, and fill the required fields then click on a button.

To upload files, please follow the Files🔗 page.

Edit a revision

To modify a revision, select it from the list first, click on a  button, do the modification and then click on a  button.

Delete a revision

To delete a revision, select it from the list first, click on the button,  if you are sure about it, click on a  button.

Note: This delete action should just use in this cases:

  • the revision is created by mistake
  • the related change request  has been canceled

In other cases, you should just change the "Status" to "Expired".

Note: If this revision has some files or has been referenced to other documents you cannot delete it. You should just change the "Status" to "Expired".

Note: The expiration of a version or the release of a new version should not be a reason to delete this version. The "Status" should be set to "Expired".

If you need to go back to see the list of the documents you can click on the button from the right side of the action bar.

    • The revision was created by mistake

    Note: If this revision has some files or has been referenced to other documents you cannot delete it. You should just change the "Status" to "Expired".

    Note: The expiration of a version or the release of a new version should not be a reason to delete this version. The "Status" should be set to "Expired".

    If you need to go back to see the list of the documents you can click on the button from the right side of the action bar.
